7 Budget Mistakes International Couples Make Planning Copenhagen City Hall Weddings

Last month, a couple contacted me 4 days before their Copenhagen City Hall ceremony.

They'd booked 1 hour of photography. Ceremony at 11:00, photo session until 12:00, done. Their flight back to Germany left at 16:00.

Here's what they didn't know: Though the ceremony takes 10 minutes. Gathering the guests, guiding them to the wedding room, exiting the wedding room, another 10 minutes. During the portrait session, walking around the building, takes at least 20 minutes (if they are fast to get used to the camera). That left max 20 minutes for another nearby (very nearby location). Or celebration with the guests.

They wanted photos at Nyhavn, the cobblestone street, and The King’s Garden.

I had to tell them: cobblestone perhaps. Maybe the canal view if we sprint.

They looked crushed. "We thought 1 hour would be enough."

I've photographed over 100 City Hall weddings. This conversation happens every month. Same surprise. Different couples.

Here's what goes sideways — and what to do instead.

Mistake #1: Booking 1 Hour Photography for a Multi-Location Day

The math doesn't work.

City Hall ceremony: 10 minutes. Walking to your first location: 10–15 minutes depending on where you go. Setup, posing, working through 2–3 looks at that location: 20 minutes. You're done.

One location. That's it.

If you want Nyhavn + the parks + the canals, you need 2 hours minimum. I've mapped out exactly what 1 hour vs 2 hours gets you—including walking times, location transitions, and how many outfit changes you can fit.

When 1 hour works: You only care about ceremony documentation. You're not prioritizing photos. You just need proof it happened.

When you need 2+ hours: You want variety. Multiple looks. Time to relax instead of rushing. The photos matter.

I'm not upselling. I'm telling you the timeline reality after doing this 100+ times.

Mistake #2: Not Budgeting for Document Translation and Apostille Stamps

The ceremony costs €280 (government processing fee). That part everyone knows.

What they forget: document translation (€100–300), apostille stamps (€50–150 per certificate), and if you're from certain countries, additional notarization fees.

One couple's bill went from €280 to €650 because they didn't realize their divorce certificates needed certified translation AND apostille stamps.

Budget an extra €200–400 for paperwork beyond the base ceremony fee. Here's the complete document checklist with every fee, translation requirement, and processing time broken down by nationality.

Mistake #3: Choosing Saturday Without Knowing It Costs €500 Extra

Saturday ceremonies at Copenhagen City Hall cost €500 more than Friday.

Same ceremony. Same rooms. Same 10-minute timeline. But €500 extra because it's a weekend.

Here's what else Saturday costs you:

Hotels: 30–40% higher rates Restaurants: Booked 6 months out, limited availability Photographer availability: Saturdays book 12–18 months ahead vs. 2–4 months for weekdays

Friday is free. The ceremony is identical. You can still spend the weekend in Copenhagen after.

Unless you have guests flying in who can only make weekends, Friday wins.

Mistake #4: Skipping Hair & Makeup Because "It's Just City Hall"

60% of couples who skip professional hair and makeup tell me later they wish they hadn't.

I can see it in photos. The difference between styled and DIY is visible. Not because DIY looks bad — but because professional styling photographs differently.

Here's the budget conversation: hair and makeup costs €300–800 in Copenhagen. If photos matter to you, it's worth it.

If you're confident styling yourself and happy with how that looks in photos, skip it. But if you're on the fence, book it.

This is one of the top regrets I hear months after the wedding.

Mistake #5: DIY Timeline Coordination (And Paying for It in Extra Photo Hours)

No one coordinates the timeline. The day runs 2 hours longer than planned. You pay for extra photography coverage.

This is what happens: ceremony runs late, you spend 30 minutes deciding where to go next, restaurant reservation gets missed, suddenly you need 4 hours of photography instead of 2.

Coordination costs €800–1,500 as a standalone service in Copenhagen. Or you hire a photographer who coordinates as part of the package.

The math: uncoordinated day = 4 hours photography (€1,600). Coordinated day = 2 hours photography + timeline management (€1,200 total).

Coordination saves you money. And time. And stress.

Coordination costs €800–1,500 as a standalone service. Or you hire a photographer who coordinates as part of the package.

Mistake #6: Not Planning for Weather (And Having No Backup)

Copenhagen weather changes in 20 minutes.

I've shot ceremonies in full sun that turned into rain by the time we walked outside. Couples with no weather plan end up doing all their portraits inside City Hall's dark hallways.

Budget for weather contingency:

Clear umbrella: €7 at Flying Tiger Photographer who knows indoor backup locations: Essential 30 extra minutes in timeline: In case weather forces location change

Or accept that some of your photos will be in the rain. Some of my best work happens in bad weather—but only if couples are prepared for it mentally.

If you need backup locations beyond City Hall, here's where to take photos in Copenhagen when weather doesn't cooperate—including indoor options that actually photograph well.

Mistake #7: Forgetting About Hidden Costs

The ceremony is €280. Then reality hits.

Here's what adds up:

What Your Budget Actually Looks Like

€4,500–6,000 Total Budget Breakdown

Budget Category Cost Range (€)
Government fees + documents €500–700
2-hour photography €900–1,200
Hair + makeup €300–800
Accommodation (2 nights) €300–800
Meals + celebration dinner €200–400
Activities (boat tour, Tivoli, saunagus) €80–540
Transportation + misc €100–200
Weather backup / contingency €200
Total €2,580–4,840
This gets you: ceremony, professional photos at 2–3 locations, styled portraits, celebration dinner, unique Copenhagen experiences, and time to actually enjoy the city without rushing.

Where Dreamsonder Fits

I don't just photograph City Hall weddings. I coordinate them.

That means: timeline creation, vendor communication, location scouting, weather backup planning, day-of timeline management—and then I photograph it.

You're not hiring three separate people (photographer, coordinator, stylist connections). You're hiring one person who's done this 100+ times and knows what works.

If that sounds like what you need, let's talk. I'll walk you through exactly what your day would look like, what it costs, and what you actually need vs. what you can skip.

Or if you just want to keep planning on your own, use this post as your checklist. Either way, you're better prepared than most couples who contact me three days out.
